HDF Inventory

Description

The application HDF Inventory supports the management of fixed assets, low value assets, intangible and legal assets. It also supports the smooth holding of inventory and depreciation. The application is also able to generate different types of reports and statements from the inventory, and to print labels for the products or locations.

HDF Inventory is a modern, multi-station network program, which has been developed taking into account the applicable legal standards.

The advantages of the program, relevant to everyday use will undoubtedly be: a transparent and intuitive interface through which the program is easy to use and user-friendly.


In response to the high interest from our customers in CPV (common procurement vocabulary ) we decided to implement this feature into our application HDF Inventory.

CPV was designed to standardize classification of products, services and works used by institutions and businesses in describing the subjects and the terms of contracts.

New version of HDF Inventory with CPV will be available in our offer from the beginning of June 2009.

Functions

Inventory

  • Two ways of carrying inventory
    The program allows for automatic inventory (using the terminal) and manual (user enters the data directly to the application installed on PC).
  • Works with equipment from well-known manufacturers
    By default, the program works with terminals Motorola / Symbol MC Series (1000, 3000, 9000). On the terminal must be installed software "HDF TRM Inventory 2007." At the request of the Client it is possible to adapt the application to work with other terminals and barcode readers.
  • Continuation of the inventory previously started
    In carrying out the inventory, there are very useful features which allow for the continuation of the inventory previously started. In this way, a user can carry out an inventory in a convenient time for him and as long as necessary.
  • Inventory of all (or selected) assets
    The user can define the assets to be inventoried- he/she can define all assets recorded in the program or select any number of them.
  • History of the inventory
    All inventories are recorded by the program. Access to the details is secured by password, and only users with appropriate rights can use this option.

Depreciation

  • Three methods of depreciation: straight line, degressive, and one-time depreciation
    Users can choose the method of depreciation for the selected asset. The depreciation methods are: straight line, degressive, and one-time depreciation.
  • Auto depreciation
    The user can specify the automatic calculation of depreciation for the entire year. As defined by the user, the program will automatically calculate depreciation.
  • Depreciation of one (or all) of fixed assets
    The program can calculate the depreciation of all fixed assets, or only those selected by the user. The user can define the assets to be inventoried- he/she can define all assets recorded in the program or select any number of them.
  • Accountant and tax depreciation
    The program can automatically calculate tax and accounting depreciation. In application there is a list of basic rates of depreciation. This list can be freely modified by the user.
  • History of depreciation
    All calculation of depreciation are recorded in the program memory. Any user with appropriate rights can access the complete depreciation history of fixed asset – both accounting and tax history. History reports include the method of depreciation.

Reporting

  • Depreciation Reports
    Depreciation Reports can be created for the period of time chosen by the user, may also take into account the tax depreciation. The user can decide what data should be included in the report.
  • Inventory reports
    The program is able to generate inventory reports according to the criteria defined by the user, e.g. by product group, department, business division.
  • Generation of various reports
    Based on the information stored in program, the user can generate various reports, which will take into account the criteria defined by user. For example, the user can generate a report, which shows a list of goods purchased or liquidated during the period, stock holding by the user, depreciated fixed assets.
  • The ability to define the names of reports
    This is a very useful option, the user can define names for selected types of reports. The default names are: statement of inventory - differences in warehouse, status before inventory, the differences in inventory, location change, and the state of the inventory.

Printing labels

  • The labels for the goods
    The user has two options to print the labels: he can print labels for the selected fixed assets or low value assets or he can print for all of them.
  • Labels for the location
    The application allows the user to print labels for the location. This label contains a bar code, the code and name of location.
  • Label templates
    The application includes 6 default templates of labels in different sizes.
  • The option to add new label templates
    There is an option to add new label templates.

Fixed assets description

  • Each fixed asset, low value, intangible assets can be described, the user can add comments and files with more detailed information and photographs of this assets.

Continuous updating of the database

  • The program is based on the network that allows a continuous updating of information. Connectivity to the database can be chosen from any place. In the same time, many users can use the system, the data are updated on a regular basis.

The history of fixed / low value / legal / intangible asset

  • To the selected assets the user can assign their history. If the asset is liquidated, it does not disappear from the system, it is still present but is not included in the inventory and depreciation. In the case of liquidation system automatically generates an additional tab to them: "the reason for liquidation," which contained information such as: the reason for liquidation, who did it and when.

Grouping of assets

  • The program allows for a grouping of assets into the following categories: groups of assets, locations, departments, business units, managers, contractors. The same categories are also the basis for retrieving data in the system.

Multilevel system of rights

  • The application allows to define different kinds of rights to individual workers and groups of workers. This means that to all information in the system only selected group of people have an access. By default, the application has four groups with different access rights. The rights assigned to specific groups and individuals can be modified freely. For the list of users, it is possible to add a number of workers entitled to the various functions in the system, it is also probable - depending on needs - to modify the scope of their rights, deactivate, remove or restore them.

Filtering the data

  • Advanced search engine allows user to search the system according to criteria like: a group of assets, business division, the user, department, location, etc.

Better organization of work

  • The program is able to generate reminders, which is very useful feature. Each new start-up of the program by the user with the appropriate rights, generates a window with information about the depreciation and a reminder of the new depreciation, which requires user approval. The window also contains data on fixed, low value assets and contractors. In this way, the user cannot forget to execute the necessary steps, like for example: to approve new assets and contractors.

The handing-over protocol

  • For each handing-over asset the user can quickly print the document - the forward protocol.

You can access the application functions with the barcode terminal keys.

Keys available: 1, 2, 3, 4, 5, 6, 7, 8 and ESC.

The functions available are described below:

Key "1": Press to start "Manual Inventory"

You can type the code on the keyboard or scan it with a built-in scanner. Then press the key "Enter" and the application will increase the value for the selected product (for the fixed asset the maximum value is 1). Its current location is defined by default. If you type a fragment of a code, the program will find all the matching codes and will let you choose the code you are looking for.

Key "2". . Press to start "Automatic Inventory"

Scan the barcode with the built-in scanner and the software will automatically check if the scanned barcode is a product or a location code. If it is a product barcode, its quantity will be increased (for a fixed asset the maximum quantity is 1). Then the software will define its location. If the scanned barcode is a location one, the software will change the location for the selected product.

Key "3".Press to start "Retrieve New Data"

This function sends the data from the application installed on the PC to the barcode terminal. Note: Before new data is saved, the base is cleared!

Key "4". ". Press to start "Prepare the Data to Be Sent"

This function allows sending the data collected by the terminal to the software installed on the PC.

Key "5". Press to start "Products List"

It displays the product list with their name, code and location.

Key "6". Press to start "Locations List"

It displays the locations list with their name and code.

Key "7". Press to start "Clear the Base"

This function deletes all the data from the base.

Key "8". Press to start "Change Location"

Key "ESC". Press to finish software work.

Package

HDF inventory package provides an easy and aesthetic way to mark fixed assets with the barcode labels. Handheld terminal (with a built-in barcode reader) allows fast and accurate reading of the data. The information obtained in this way is automatically processed by the system - which significantly reduces the time needed to fulfill census sheets and to prepare subsequent reports of inventory. Labels for the designation of property and location are made of high quality materials, and they are resistant to external factors such as moisture, dust or chemicals.

The form for entering fixed assets.

The program allows user to print labels for assets and locations. By default, there is seven labels templates in the program. The user can add new templates.

The user can define for which assets the depreciation should be calculated - for all assets or only for these specified by the user.

Printing the handing-over protocol.

Fixe assets depreciation tables for a select group of assets, and for a selected year. The tables may also include the depreciation tax.

The list of assets for approval. As long as the user, with the appropriate rights, did not approve assets entered in to the program, they are not taken into consideration for depreciation and inventory

The program allows the grouping of resources according to categories defined by the user.

For each of the fixed asset the user can define an appropriate method of depreciation straight line, degressive, and one-time depreciation. The application contains a list of frequently used rates of depreciation. The user can freely modify the list - add new rates, change them or delete them.

Multilevel system of rights allows to define which groups of users should have access to specific functions of the program and stored data in it.

The user can define the plan for calculation of depreciation for the entire year. In the selected days the program will automatically depreciate all assets.
