If you are wondering how to take inventory of fixed assets, you have come to the right place.

Inventory

As the name suggests, our application is used for efficient inventory taking. You can carry it out in two ways: automatically, using a barcode terminal with the HDF InvMobile application or manually, entering the data yourself into the system on your computer. Do you need to interrupt the inventory? Nothing lost, because the system saves every inventory you start, which you can return to at any time. You have the option to take inventory of all fixed assets or only those marked. In addition, each inventory is automatically saved in the system and people with the appropriate permissions can restore it at any time (inventory history).

Fixed asset depreciation - straight-line, declining balance, one-time

With our program you will carry out not only an inventory, but also a comprehensive depreciation of fixed assets, which will allow you to accurately calculate the consumption of goods. You can choose from 3 types of depreciation: straight-line, declining balance or one-time depreciation. You can perform it automatically, by setting a specific date and specifying the automatic depreciation calculation plan for the entire year, or manually, by selecting only the selected fixed assets. Once you select the assets and click Depreciate, the system will calculate depreciation on its own. You will also find a list of depreciation rates, which you can modify at will, or depreciation history with reports. With our application, you will also easily make accounting and tax depreciation.

Physical inventory software

HDF Inwentaryzacja works as a physical inventory tool- the most common method of fixed asset inventory. Once your records are loaded, you carry out the physical inventory using a data collector (with the HDF InvMobile app) or manually in the desktop program. All scanned items are automatically reconciled with the asset register, and discrepancies, shortages and surpluses, are reported in a settlement document.

Reporting

The inventory program collects and analyzes data to generate for you detailed depreciation reports, inventory reports, purchased asset reports, liquidated asset reports, or asset condition reports. You can name individual reports yourself, or choose the time period and categories to be included in them - you decide.

Fixed assets, low-value items and equipment recording

You can add an unlimited number of fixed assets (from the amount of PLN 10,000), low-value fixed assets (up to the amount of PLN 10,000) and intangible/legal assets (such as property rights, patents, trademarks or licenses) to the Inventory program. You can describe each asset in detail, add notes, files or even photos of the goods, which will greatly simplify the subsequent inventory.

Import/export of fixed asset data

If you already have your database with a list of assets, e.g. in Excel, you can easily import it into our program, saving a lot of time. All you need to do is select a file in .xls or .csv format, determine the association of columns with fields in the database and select the rows for import. Similarly, you can expressly export the fixed asset data to Excel.

Asset grouping

HDF Inventory program allows you to group your assets by the following categories: asset groups, locations, departments, business divisions, responsible persons and contractors. You can generate and print from the program level the company's fixed asset documents (MT, LT, OT), as well as record and accounting statements at any time.

History of a fixed/low-value/legal/intangible asset

All assets are assigned their history, which consists, for example, of the time of its addition or the data of the person adding it. In our system, when an asset is deleted, it does not disappear completely from the application, but is marked as a liquidated asset and is not included in the inventory and depreciation. In its card is also added a section with the reason for liquidation, date and time and user data of the liquidator.

Constant updating of the database

Thanks to the network nature of our application (Ethernet), you can connect to the database from anywhere in the world. Your database is constantly updated, giving you access to up-to-date information. It can be used by many employees at the same time, without worrying about delays in transferring information.

Label printing

Another of the possibilities provided by our program is the printing of asset barcode labels and asset location labels from within the application. To make your work even easier, we have also added a function to save label templates, which will greatly speed up their printing. By default, you will already find 6 label templates of different sizes in the program, to which you can add your own at any time. You can also check the option to print a label for each asset, which will speed up the process even more.

Multi-level authorization system

HDF Fixed Asset Inventory has a built-in authorization system, from which you will give a range of permissions to your individual employees or their specific groups, of which there are 4 by default in the system. You can modify, deactivate, delete or restore permissions at will, and you can add an unlimited number of users to the list of authorized persons. This is a very helpful feature, as you don't need a separate permissions program to perform this action.

What equipment should you buy to take inventory automatically?

Depending on the size of your business, the number of fixed assets and their location to perform a physical inventory, you will need specific equipment. Our application works on a license basis, which means that it is assigned to a computer or Windows server. However, it is known that each enterprise has different needs, so it may need different devices.

Our proposed inventory kit should consist of:

HDF Inwentaryzacja Businessgenerates the JPK_ST_KR file with a single click, in line with the structure required by the Polish Ministry of Finance. This is intended for companies keeping accounting books that are obliged to provide fixed asset records in JPK format on request from tax authorities. The software automatically pulls data from the fixed asset register, validates required fields (KŚT classification, acquisition date, initial value, depreciation rate, depreciation history), and produces a ready-to-submit XML file. What are fixed assets?

A fixed asset is a tangible asset of a company with an expected useful life of more than one year. We enter in the records of fixed assets elements such as the serial number, the date of purchase of the asset, the symbol of the Fixed Asset Classification, the initial value, the depreciation rate and others specified in Article 22n of the PIT Law.
